How to Anonymise a CV: Redaction Checklist for Recruiters

Learn how to anonymise or redact a CV step by step, including what personal details to remove, what evidence to keep and how to check the final file.

To anonymise a CV, create a separate screening copy, remove the identifiers defined by your process, preserve the job-relevant evidence and inspect the final document before anyone uses it.

1. Define the purpose and review stage

Write down who will receive the anonymised CV, why they need it and when identity will be restored. A client shortlist, internal first sift and equality exercise may require different fields.

2. Select the fields to remove

Direct identifiers normally come first:

  • candidate name and honorific;
  • email address and phone number;
  • home address;
  • photograph and signature;
  • portfolio, LinkedIn and social links;
  • date of birth and identification numbers.

Then decide whether the process also hides indirect cues:

  • employer and client names;
  • school or university names;
  • graduation and employment dates;
  • exact locations;
  • nationality, gender or marital-status references;
  • hobbies, memberships and awards.

Do not remove a licence, language, location requirement or qualification merely because it is personal. If it is an essential criterion, preserve the job-relevant fact while removing unnecessary identity detail.

3. Copy the source document

Keep the original CV unchanged and access-controlled. Give the new version a non-identifying filename such as SR-1042-blind-cv.pdf.

4. Remove or replace the information

Deleting an entire sentence can remove useful evidence. Where possible, generalise the identifying part:

  • Northbridge Retail Bank becomes UK retail banking organisation;
  • University of Manchester becomes UK university;
  • Maya Shah becomes Candidate SR-1042;
  • March 2021–Present becomes Recent role · more than three years if exact dates are hidden.

5. Check every location where data can hide

Names and contact details often survive outside the main text. Inspect:

  • headers and footers;
  • filenames and folder names;
  • hyperlinks and link destinations;
  • images and scanned pages;
  • comments, tracked changes and hidden text;
  • document properties and author metadata;
  • cover pages and appendices;
  • repeated contact blocks on later pages.

6. Review the screening value

Confirm that the redacted document still shows the experience, achievements, skills and qualifications needed to assess the role. An empty or over-generalised CV is not a useful blind CV.

7. Record and share the correct version

Store the field choices, reviewer and created version with the candidate record. Share only the approved anonymised copy with the intended reviewer.

How to redact a CV manually

Manual CV redaction can work for occasional documents when the source is editable.

  1. Duplicate the original file.
  2. Replace identifiers with a candidate reference or useful general labels.
  3. Accept or remove tracked changes.
  4. Clear comments and document properties.
  5. Export to the required format.
  6. Reopen the export and search for the candidate's name, email, phone number and employer names selected for removal.
  7. Review every visible page.

Do not rely on drawing a black rectangle over text in a PDF. The underlying text may remain searchable, selectable or recoverable. Proper redaction removes the data rather than merely covering it.

How to anonymise CVs automatically

What is the difference between anonymising and redacting a CV?

The terms overlap, but their emphasis differs:

  • Anonymising focuses on preventing a reviewer from identifying the candidate from the version provided.
  • Redacting focuses on removing or obscuring selected information.
  • Pseudonymising replaces identity with a reference that authorised people can reconnect to the source record.

Removing only the candidate's name

Inconsistent rules across candidates

If one CV shows employers and dates while another does not, the documents are not being compared under the same conditions.

Removing useful evidence

Generalise identity cues without deleting achievements, tools or scope. The reviewer still needs a defensible basis for the screening decision.

Begin with name, contact details, address, photo and direct links. Then follow the agreed policy for dates, education, employers and locations.

Can I anonymise a scanned CV?

Yes, but a scanned file may require text extraction or image-aware processing. Inspect the rendered output because identifiers can remain inside images even when extracted text is clean.

Should the hiring manager see the original CV later?

Usually identity returns at a defined stage, but the timing depends on the process. Document who can access the original and why.

Is an anonymised CV anonymous personal data?
